How we handle information about people.
Most of the people whose information we hold are not donors or website visitors. They are widows, children and families who came to us for help. That shapes everything below.
Es Shemen Hope Foundation is registered with the Corporate Affairs Commission of Nigeria as Incorporated Trustees, and operates from Lugbe, Abuja, Federal Capital Territory. We are responsible for the personal information described here.
What we collect
If you visit this website. Standard server logs kept by our hosting provider, including IP address, browser type and pages viewed. We do not run advertising trackers or sell analytics data.
If you give. Your name, email address, the amount and date of your gift, and your Olive Tree Circle tier if you join it. Payments are made by bank transfer directly to our corporate account. We never see or store your card or banking credentials.
If you volunteer. Your name, phone number, email address and what you told us you can offer.
If you contact us. Whatever you put in the form or email, kept so we can reply and follow up.
If we serve you. Beneficiary records including name, household composition, location, the support you received and the date. Where health screening is offered, blood pressure readings and related notes.
Beneficiary records are treated differently
We record the people we serve so that we can return to them. That is the point of the programme: without records we cannot tell whether anything changed for anyone. But those records describe people in difficult circumstances, and they are held to a higher standard than the rest.
Beneficiary records are not shared with third parties, including donors and partners, without the consent of the person concerned. A funder who asks who we reached will be told numbers and outcomes, not names.
Photography and consent
Consent is obtained before any photograph is taken of any person we serve. Children and people living on the street are never photographed for fundraising purposes, at any time.
If you have been photographed by us and want that image withdrawn, tell us and we will remove it from our materials. You do not need to give a reason.
How we use information
To deliver and follow up on programmes; to acknowledge gifts and report to donors on what their giving funded; to coordinate volunteers; to reply to enquiries; and to meet our legal and regulatory obligations as a registered organisation.
We do not sell personal information. We do not share it for marketing. We do not transfer it outside Nigeria except where a service we use to run this website or our email stores data elsewhere.
How long we keep it
Donation records are kept as long as required for financial accountability and audit. Beneficiary records are kept for as long as the person remains part of a programme and for a reasonable period afterwards so outcomes can be measured. Enquiry messages are kept only as long as needed to deal with them.
Your rights
Under the Nigeria Data Protection Act you may ask us what information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Write to info@esshemenfoundation.org and we will respond.
If you are a beneficiary and prefer to ask in person rather than in writing, tell any member of our team on an outreach day and they will pass it to the Programmes Lead.
Security
Records are held securely and access is limited to the officers who need them. Our Executive Director holds Prevention of Sexual Exploitation and Abuse certification through UNICEF, and safeguarding awareness is a condition of volunteer participation.

We ask before we photograph. We never publish images of children. We do not give beneficiary names to donors. We do not sell anything about you to anyone.
